Need Publicity?

The CUA Office of Public Affairs offers assistance with publicizing events, research and other news via on- and off-campus news outlets. On-campus news outlets include university publications like This Week @ CUA, the Online Calendar of Events, and other publications produced by the Office of Public Affairs. Public affairs staff also can seek off-campus publicity by sending out calendar items, media advisories and press releases to media outlets, trade publications and other venues that provide free news coverage and listings for campus events. In addition, public affairs staff can assist individual departments and schools with taking out paid advertisements.

For more information about various publicity outlets, deadlines and procedures to follow for seeking publicity, see guidelines below.

NOTE: The Office of Public Affairs is the only office authorized to send out news releases to off-campus media on behalf of the university and individual schools, departments and programs. See below for guidelines on requesting calendar item notices or news releases intended to generate news coverage.

On-Campus Publicity Outlets

THIS WEEK @ CUA is the online weekly newsletter of on-campus events that comes out via e-mail on Monday; it is published weekly during the academic year. Please send submissions to the Office of Public Affairs (PBAF) by fax, 202-319-4440; or e-mail, cua-public-affairs@cua.edu. Submissions must include details like who, what, where, when, sponsor, if the event is free or has a charge, and if it's open to the public. A contact person and phone number are required. Deadline is 5 p.m. on the Wednesday before the week you'd like an item to appear. Mary F. McCarthy (e-mail: mccarthym@cua.edu) is the editor of This Week @ CUA.


THE CALENDAR OF EVENTS is an online listing of on-campus events by month, which is liked to the www.cua.edu in addition to many other departmental, office and school Web sites. The online calendar is updated on a weekly basis. Items requested for inclusion in This Week @ CUA are automatically included in the online calendar and vice versa. Calendar item listings may be included far in advance of an event. Please send submissions to the Office of Public Affairs (PBAF) by fax, 202-319-4440; or e-mail, cua-public-affairs@cua.edu.



WWW.CUA.EDU is the university’s home page and primary portal Web site. News items linked to the main CUA Web site at www.cua.edu are posted at the discretion of the public affairs office. Because space in this venue is so limited, during the regular school year the front page headline links are usually reserved for major campus news, appointments, events or messages from the President.

ADDITIONAL PBAF PUBLICATIONS
If you have news about faculty publications, off-campus lectures and performances, awards or honors, they can be written up in the “Notables” section of Inside CUA, the monthly online campus newsletter. CAMPUS PHOTOGRAPHER
If you would like to have a headshot taken or need an event photographed for brochures or other uses, direct your requests to the Office of Publications by e-mailing cua.public.affairs@cua.edu or call 202-319-6982. Associated costs for photography/prints may be billed to individual departments and/or schools.


Off-Campus Publicity


Calendar Item Notices about university-sponsored events on campus can be sent out to the free listings in The Washington Post, The Washington Times, Washington City Paper, the Catholic Standard, the Arlington Catholic Herald and a few other local news outlets. Requests must be made with enough advance notice to prepare the calendar item and send it out at least two weeks in advance of the publication date preceding the event.

To request a calendar item notice, send an e-mail with essential information about an event — who, what, where, when, why, sponsor, a name and number to call for more information, details on entrance fees, if any, and if the event is open to the public — to Katie Lee, media relations specialist, at leect@cua.edu or call 202-319-5600. Requests should be received at least one month in advance of when the calendar item should appear; items submitted in advance will be prioritized over late submissions.



Media Coverage of events, research and other news of interest to journalists can be solicted with press releases, media advisories, tip sheets and pitch letters. 

It is essential for conference, lecture and other event organizers to obtain permission to invite the media from featured speakers and event participants. In some cases, speakers do not wish to be photographed or quoted by the media. It is the event organizer's responsibility to find out before seeking media coverage if it will be acceptable to event participants

To request a news release, contact Katie Lee, media relations specialist, about an upcoming event as soon as possible to discern if the event has "news appeal" and will attract reporters. To inquire about news releases and/or potential coverage, send an e-mail with essential information about an event — who, what, where, when, why, sponsor, contact information, entrance fees, if any, and if the event is open to the public — to Katie Lee at leect@cua.edu or call 202-319-5600.

While some events by necessity must be organized and publicized with very little lead time (e.g., forums organized to discuss a breaking news event, etc.), it is essential to give the PBAF office enough advance notice to prepare a news release. A month's lead-time is acceptable; earlier is always better. For major events and arts/entertainment performances, more notice is needed. Very late requests may not be fulfilled, depending on the workload of the public affairs office.

Press releases may be posted electronically to the news releases page or to the headlines section of the CUA Web site, at www.cua.edu.

Paid Advertising

    

The Office of Publications provides assistance with designing and placing advertisements. Visit the Marketing and Advertising Page for more information.  As a note, the offices of public affairs and publications do not have budgetary funds for paid advertising. While CUA designers will design ads for free, individual schools and departments must cover insertion costs associated with advertising.
